14 Ways to Better Engage Your Volunteers

Most volunteer managers can agree, retaining regular volunteers can be a daunting task at times. It is important to not get discouraged when you are constantly seeing more new faces than familiar faces. Remember, one hundred percent retention of volunteers is an unrealistic goal.

You may be asking yourself, “how can I ever retain one volunteer if the odds are against me?’ Check out the tips below to help ensure a more active volunteer group within your organization or at your service projects!

  • Opportunities for evaluation: Evaluation can be informal. Just read your volunteer’s body language and verbal cues to see how they are feeling about the project. If their cues seem more negative than positive, ask them to come talk. You can ask them questions such as, “what do you like most about your job?” or “what can we do to make your time more fulfilling?”
  • Vacations and leaves of absence: To ensure volunteer enthusiasm and interest, offer regular volunteers the option of promotion for good performance. If your volunteer is feeling overwhelmed by personal obligations, allow them a leave of absence or vacation until they are able to serve again. Keep in touch with them to let them know that you care about their well-being.
  • In-service training: Training can be a great reward for dedicated volunteers to learn valuable skills for not only their volunteer work, but also their personal life. If your organization has a conference coming up or an opportunity to meet with a professional trainer in the field, reward them with the opportunity.
  • Staff meetings: Allow volunteers to attend staff meetings within your organization in order to give them a voice in projects. If that is not possible, coordinate volunteer team meetings so that they can share opinions.
  • Presentations: Invite volunteers involved in an interesting project to share their work at a staff meeting.
  • Advocacy opportunities: Invite your volunteers to advocate with governmental agencies, their opinion may mean more because they are not paid to give it.
  • Volunteer advisory council: Form a volunteer council to help develop policies and share project ideas. The council should have the chance to meet with your organization’s board members, too.
  • Expense reimbursement: Reimburse your volunteers for their out of pocket expenses such as gas or clothing. Making a small budget for reimbursement will pay off in the long run.
  • Benefits: Treat your volunteers like your staff members. Volunteers need food and drink, a safe working environment, and excess insurance if they are driving frequently.
  • Personnel file: Keep record of your volunteers’ involvement so that you can right a reference later or be reminded of good performance. This file will help you keep track of your dedicated volunteers.
  • Interesting tasks: Vary the work given to volunteers to ensure fulfillment and prevent boredom.
  • Respecting volunteers: No volunteer is “just a volunteer.” Remember, volunteers are unpaid staff members; they should be treated with the same respect as paid staff members.
  • Volunteer socialization: Create opportunities such as picnics or ice cream socials for volunteers to network and celebrate successes together.
  • Staff appreciation: Recognize and thank staff members that work well with volunteers. If staff feel appreciated, they are more likely to connect and interact with volunteers.

 

It is important to provide inclusive projects for both your volunteers and your staff members to guarantee retention. When volunteers feel their work is both meaningful and fulfilling, they are more likely to return.

Get Creative and Say “Thank-you” to Volunteers

National Volunteer Weeks is a time to “celebrate people in action!” Volunteers contribute so much everyday to the community, with little or no recognition for the work that they do. The Independent Sector values volunteer time in 2011 to be $21.79. We believe their contributions are worth more than any money could buy!

If you love volunteers like we do, why not show them your love this week and beyond. This week is the perfect time to start showing your recognition for the work that your volunteers are doing. Whether you are a traditional thank-you note kind of person, or you like to spice things up a bit, we have an idea for you! Check out today’s list and get inspired to celebrate the volunteers who make our community better everyday.

  1. Present your volunteers with handwritten appreciation certificates
  2. Host a theme party for your volunteers (toga, tea party, Hawaiian theme)
  3. Send a kind smile their way
  4. Outreach to local media for volunteer project coverage or thank you write up to volunteers
  5. Send them candy for a job well done
  6. Create a volunteer suggestion box and show them that you value their opinion
  7. Shake hands with your volunteers and thank them for a job well done
  8. Invite volunteers to staff meetings so that they  have a voice in organizational decisions
  9. Is your organization hosting a conference? Develop a special award for volunteers to allow them to go for free!
  10. Have a volunteer of the month hall of fame
  11. Host a volunteer party catered by a local restaurant. Include a volunteer red carpet for their entrance.
  12. Provide coffee and breakfast for an early volunteer event.
  13. Take pictures of volunteers at the service project and share them on social media.
  14. Provide volunteers with a four-leaf clover and a note saying, “We’re lucky to have a volunteer like you!”
  15. Hold a volunteer awards ceremony similar to the Academy Awards for volunteers. Best female volunteer, anyone?
  16. Give volunteers sparklers with a note saying, “No one sparkles like our volunteers.”
  17. Hold a volunteer ice cream social.
  18. Give your volunteers a round of applause at the end of a service project
  19. Have a fabulous contest to reward dedicated volunteers with prizes
  20. Utilize Cabot Creamery Cooperative’s Reward Volunteers Smartphone application to celebrate service hours!
  21. Have the CEO of your organization come to the service project to say “thank-you” to the volunteers
  22. Pass out Lifesavers to your volunteers with a note saying, “Thank-you volunteer, you’re a lifesaver!”
  23. Have a volunteer pizza party!
  24. Sponsor a volunteer retreat for the most active volunteers
  25. Give movie passes to your volunteer leaders.
  26. Ask your volunteers to contribute a blog post to your organization’s blog about their volunteer experience.
  27. Let your organization and your volunteers know the impact that they made during the project.
  28. If your volunteers are involved in big projects, have a plaque made for the site with their names on it.
  29. Make a photo album of the project and the volunteers to display at your organization.
  30. SAY THANK YOU EVERY PROJECT EVERY TIME!

Stay Out of the Cold and Volunteer from Home

With the freezing temperatures, tornadoes, and torrential down pours lately, why would you ever want to leave your home, if you do not have to? All of us at HandsOn Network can definitely relate to your predicament. We have compiled a list so that you can still help out your community  without having to take off your Snuggie anytime soon!

How exactly are you helping out those in your community who may need help by sitting in your house? Volunteering does not always have to be face-to-face. You can plan for your service projects, fundraise, recruit volunteers, watch a discussion provoking documentary, etc.

Below is a list of just 5 ways that you can become involved from your spot on the couch.

  1. Plan your springtime service project NOW! There is nothing wrong with planning for service a little bit early. Service planning can actually take quite a bit of time. How can you plan your service project so early you may be asking yourself?
    • Decide where you want to serve
    • Check out their website. Find out whether or not you need to go through an orientation before you serve, etc.
    • Sign up for a project that sounds interesting to you
    • Recruit friends by calling them or sharing your project through social media channels
    • Make a list of supplies that you may need
  2. Gather gently used belongings that you can donate or sell at a yard sale to raise money for your favorite charity! These are both great ways to volunteer without leaving home because you not only get some spring cleaning done, but you will also largely help those in your community.
    • Go through your gently used goods and decide what you can give away and what you cannot possibly live without.
    • Sort these things into boxes or bags so that you know what you have
    • Locate your nearest shelter or donation center to bring your things too. Some organizations, such as the American Kidney Foundation, will even come and pick up your items!
    • If you are planning a yard sale get the word out by putting signs out around your neighborhood.
    • Decide what organization or causes you would most like to donate your proceeds to (maybe one that will benefit your local community?)
    • Let your neighbors know about your fundraising event and recruit their participation! It can be a great way to bring a community together in a beneficial way.
  3. Try micro-volunteering! What is this you may ask? Micro-volunteering is a form of virtual volunteering allowing people to serve nonprofits in an indirect way. A nonprofit may ask for a task to be completed online and a volunteer will respond to the task at hand. Service projects can take anywhere from 5 minutes to 2 hours. Websites such as sparked.com are great resources to find micro-volunteering opportunities!
  4. Assemble care packages or food baskets. Contact your local meals on wheels organization, church, or food bank and see what kinds of foods they are looking for. You can assemble meals for those who use their services and deliver them to be used for their community members. You can also check out veteran services to see how you can get involved in having an overseas pen pal!
  5. Are you artistically inclined? Turn your hobby into a service project!
    • Make pictures for a retirement center
    • Knit scarves, mittens, or hats for a local shelter
    • Make baby blankets for a women and children’s home
    • Make jewelry for a women’s shelter
    • Design dog or cat collars for an animal shelter or make toys

These are just 5 ways that you can volunteer without having to spend much time away from the warmth of your house! All of these suggestions will greatly benefit your local community in more ways than one!

Planning an Employee Service Project

Today’s post comes from Julie Murphy, Senior Director of Government Affairs at Points of Light. She is also the head of the Washington, DC Office for Points of Light.  In this role, she is responsible for relationship management and communications with public policymakers in the promotion of volunteerism, service and policies that encourage civic engagement.  She joined Points of Light in January of 2008. 

When the idea surfaced of a volunteer service project for the Points of Light DC staff in conjunction with Thanksgiving, I thought to myself, “This will be a piece of cake because this is our bread and butter.”  (Yes, a delicious mix of metaphors, appropriate for the holiday!)

The process of identifying and conducting an employee service project revealed to me, however, how challenging and how valuable our work is and how the relationships between individuals and those in need can become a deep bond through service.

We are a motley crew here in DC with competing schedules and high energy.  When we decided that we would like to do a service project as a way of giving thanks, Norman Walton, our DC Operations Manager and I quickly contacted several organizations, assuming they would welcome us with open arms.  Many never got back to us; others had as many volunteers as they needed.  One project to load food boxes for distribution on Thanksgiving turned out to be a 30 minute drive from downtown Washington.

It was looking discouraging and the irony was not lost on our team. It was made evident to us that the work that our affiliates do every day across the country is far from simple and far from automatic.  Many organizations could use help year round but do not have the bandwidth to operate a nimble and comprehensive volunteer management program.

Finally, we happened upon A-SPAN, the Arlington Street People’s Assistance Network.  Our first contact was with Sarah Morse, Manager of Volunteer Programs & Special Events.  When we arrived at their offices and in-take center, she provided our intrepid team of Kerby Teller, Khyati Desai, Kelly Zito, Norman Walton and I with an overview of A-SPAN’s mission and programs, oriented us to their offices and introduced us to their Executive Director who was more than gracious.

We then spent the next 2 hours sorting through piles of donated clothes and personal hygiene products.  We even came across a HandsOn Gulf Coast T-shirt, well worn and a tangible reminder of the scope of our footprint!  The only challenge we had was when Norman and Kerby came across a mint-condition Cal Ripken baseball jersey that each of them coveted!

At the end of our time at A-SPAN, we were able to step back and proudly survey two rooms full of clothes and toiletries, fully organized by size and type and available to those in need.  We left feeling that, even in a small way, we had made a difference.

The DC office of Points of Light hopes to establish a long-term relationship with A-SPAN.  As with most acts of service, what the giver receives is beyond measure and we were privileged to have had this opportunity to build a stronger connection to the many around us who must go without during this holiday season.

 

 

How Service Can Be Added to Your Classroom Lesson Plan

Service learning projects are an important addition to the enrichment of education. Service projects are important not only because they can be incorporated into the learning environment of the classroom, but also they can teach civic responsibility and strengthen communities. The most important thing that service learning can add to an educational atmosphere is an answer to the question “Why do I need to learn this” because it adds a real life application to daily lessons.

It is important that service to the community is taught at an early age, to ensure a lifetime of service and giving to others. Children who serve together tend to have higher levels of self-respect, character development, and academic achievement. Projects can be big or small depending on your classroom schedule and time availability. Projects should also be developed based upon your class’s age level.

So you want to start a classroom volunteer project? How on Earth do you begin a service project especially with young kids and very little time to stray away from lesson plans? Here are some project ideas for all types of ages and schedules:

  • Preschool age: Teach your class about sharing through a cheer cards service project. Provide construction paper, crayons, pictures, etc. to your class. Ask students to think of an individual who has made them happy in the past year. The students will make a card for that person with a “cheery” message attached to spread happiness with loved ones.
  • Kindergarten age: Spread the message of kindness and friendship with your class by making pet collars for shelter animals. These collars can be made out of felt or cotton and decorated by your students. Once the collars are finished they can be donated to a local animal shelter. Teach children about animals while doing this project.
  • Elementary school age: teach respect to your classroom by making friendship quilts. Have students decorate a cloth square with messages or pictures of peace and friendship. Put all of the squares together as a quilt or string of messages. If your class has extra time, students may also make peace cards to accompany the quilt. Once the quilt is completed, it can be donated to your local shelter.
  • Middle school age: teach your class the power of giving by holding a class or school-wide food drive, canned goods drive, clothing drive, or coat drive. Have each classroom make a box to collect donations in. This box should be visible in the classroom so that others know about the drive. Let others know about your donation drive by having a write up in your school newsletters, a note to parents, or local organization announcement.

With the right amount of planning and development your class really can give back to the community at any age. Whether your project is big or small children really do learn the power of giving back by participating in service projects.

The holidays are the easiest time to give back this year, with a wide variety of projects to choose from. You classroom can join GenerationOn this year from November 29 to December 13 for their Holiday Gift Campaign. Get your classroom service project started by having your students pledge service to GenerationOn, every pledge of service will be honored by Hasbro who will donate a toy to a child in need.
